ITA Spotlight of the Month, Fall 2024

Dear ITA Family,

ITA’s mandate is wide and far reaching, providing services that range from classic IT, such as computer support, enterprise applications, data networks, and a data center, to progressive digital services, such as a TV station, 3-1-1 Call Center, public safety radio/microwave communications, helicopter avionics, social media, and more. But the magic can’t happen without the behind-the-scenes work that ensures the bills get paid.

This Fall, our ITA spotlight shines on the Financial Administrative Services Bureau (FAS), which fulfills ITA’s purchasing, contracting, facility, accounting and payroll needs, as well as provides project management and  administrative support.  FAS works directly with other departments, such as the offices of the Chief Administrative Officer, the City Attorney, and the Controller, to make sure core services in ITA are supported. They are also responsible for communicating with elected officials such as the Mayor and various council members to guarantee that ITA’s core duties receive proper administrative approvals. 

Despite 85% of their staff being with ITA for two years or less, FAS has been able to provide support without any degradation to the services provided.

The following are some accomplishments of the bureau in FY 23-24:

  1. The Budget Group helped pass and administer the department’s budget of $111M, reviewed more than 2,100 customer service requests (CSRs), and finalized 892 purchasing documents (including purchase orders).

  2. Facilities oversaw the work on the modernization and restacking of P4.

  3. The Contracts Group executed over 23 contracts, contract amendments, and service level agreements and processed more than 50 requests to use ITA contracts by other departments.

  4. Accounting completed approximately 1,700 transactions to run department operations.

  5. Payroll successfully navigated the change from the old payroll system (PaySR) to the new one (HRP).

  6. The Project Management Office successfully automated insurance notifications sent to contracted vendors and oversaw nearly 160 projects.

  7. The Executive Admins sent out 400 official correspondences,  performed a variety of administrative tasks, and handled day-to-day functions of ITA’s Executives.
